Paper Records Storage  & Document Archiving Services in Dallas–Fort Worth

AT A GLANCE

Paper records have a way of piling up. What starts as a few boxes in the corner becomes a storage room full of files no one is sure how to manage. For many DFW businesses, paper records are being managed reactively, with no clear system, no retention schedule, and no documented destruction plan.

Armstrong Archives changes that. We provide paper records storage and document archiving services to businesses and organizations across the Dallas–Fort Worth Metroplex, managing the full document lifecycle, from initial intake and indexing through secure, certified destruction. With 30 years of experience and a team that answers your calls, we bring order to the chaos so you can focus on running your business more efficiently.

What Is Document Archiving?

Document archiving and document storage are related, but they’re not the same thing. Storage is where your records go. Archiving is the system that governs them.

A proper document archiving program includes classification, indexing, access controls, a retention schedule tied to record type, and a plan for secure destruction when records reach the end of their useful life. Storage, meaning the physical facility where boxes are held, is one component of that system.

Think of the document lifecycle in three stages: active use, inactive storage, and scheduled destruction. Archiving manages all three stages, so records are protected, kept only as long as they need to be, and accessible only to the people who should have them.

What’s Included in Armstrong’s Paper Record Archiving Services

Our document archiving services are built to handle every stage of the records lifecycle. Here’s how it works from the day your records arrive at our facility.

Inventory & Indexing

Every box and file is barcoded and cataloged at intake. Barcoded chain-of-custody tracking begins on day one, and your records are indexed in Armstrong’s document management system, keeping them organized and easy to retrieve. You’ll always know exactly where your records are and what’s in them.

Secure Offsite Storage

Your documents are securely stored in our offsite records storage facility, not a self-storage unit. If your files contain sensitive materials that should not be exposed to fluctuations in temperature or humidity, we also offer climate-controlled document storage. Our climate-controlled warehouse was designed for long-term document preservation and features environmental controls to keep your fragile paper records in optimal conditions.

Retrieval & Access

Because every file is barcoded and indexed at intake, Armstrong can locate your records quickly when you need them. From there, you have options: we can deliver the files directly to your office, or you can review the originals in person in Armstrong’s viewing room at our Carrollton facility.

Standard delivery is available on request. If you need documents the same day, place your order before 2 p.m.

Scan-on-demand is a fast, flexible way to access your records without ever leaving your desk. For a small additional charge, Armstrong will scan your file and deliver it to you in digital form by the next day or sooner. For urgent needs, expedited options are also available at an additional charge: same-day delivery if requested by 11 a.m., or 2-hour service for the most time-sensitive requests.

Retention Scheduling & Certified Destruction

One of the most overlooked parts of records management is knowing when to let records go. To make it easy for you, Armstrong Archives also offers secure document destruction. When you’re ready, simply contact us with a list of materials to be sent for certified, secure shredding. Upon completion, we issue a certificate of destruction for your records.

Industries that Rely on Paper Record Archiving

Paper archiving requirements vary by industry. Armstrong works with a wide range of organizations across DFW that manage high volumes of regulated or sensitive records, including:

  • Medical practices & healthcare — HIPAA-compliant storage for patient records, imaging files, lab results, and more
  • Law firms — case files, contracts, and client records
  • Financial services — account records, loan documents, and other sensitive client files
  • Architecture, Engineering & Construction – blueprints, surveys, project plans, permits, and financial records
  • Energy & Utilities – lease agreements, land and title documents, environmental impact assessments, exploration and production data, inspection and maintenance records, and compliance filings
  • Staffing & recruiting — personnel files, payroll records, and onboarding documentation
  • Educational institutions — student and faculty records

Whatever your industry, if you’re managing paper records under regulatory requirements or internal retention policies, Armstrong has the experience and infrastructure to support you.

Physical Archiving, Digital Archiving, or Both?

Most DFW businesses maintain a mix of paper and digital records, and that’s not a problem. Physical archiving remains the right choice for original documents, records with legal-format requirements, and any paperwork that must be retained in its original form for compliance purposes.

For records that benefit from faster, easier access, paper-to-digital conversion is available as an add-on to your archiving workflow. High-access files or records at risk of degradation can be scanned and delivered in your preferred digital format. Learn more about our document scanning services.

Armstrong supports both approaches. We’ll help you identify what needs to stay in original form, what benefits from digitization, and how to build a workflow that serves both.
